Retreat Terms and Conditions
Introduction
1.1 These Terms and Conditions apply to your Retreat booking with The Pilates Hub. The Pilates Hub is a trading name of Joanne Cornish Limited, registered in England and Wales under Company Number 12916042.
1.2. The terms “I”, ”we", "us", or "our" refer to Joanne Cornish Limited trading as The Pilates Hub.
Definitions
2.1. "Booking Form" means the form completed online or otherwise to confirm your place on a Retreat.
2.2. "Booking Fee" means the amount you must pay to secure your place.
2.3. "Retreat" refers to the Pilates retreat organised and delivered by us.
2.4. "You/Your" means the individual who is booking and attending the Retreat.
Acceptance of terms and conditions
3.1. By submitting our Booking Form, you are agreeing to the terms and conditions set out below (“Terms”) and they will be incorporated into the agreement between us (“Agreement”). The Agreement is formed when we send you a booking confirmation.
Booking Process and Payment
4.1. Your place is only secured upon our written confirmation and receipt of the Booking Fee.
4.2.The Booking Fee is non-refundable, except as stated below in Section 5.
4.3. A non-refundable deposit of £250 is required to confirm your place.
4.4. The remaining balance must be paid by 30th January 2026.
4.5. If you book after 30th January 2026, full payment is due immediately upon booking.
4.6. Failure to pay on time may result in your place being forfeited.
We highly recommend you take out appropriate insurance once you have made your booking.
Cooling-Off Period (Your Right to Cancel)
5.1. You have the right to cancel your booking within 14 days of receiving your confirmation email without giving any reason, provided you have not already attended the Retreat or started using any Retreat services.
5.2. To exercise the right to cancel, email joanne@thepilateshub.uk or complete the cancellation form in Annex 1.
5.3. To meet the cancellation deadline, it is sufficient for you to send your communication concerning your exercise of the right to cancel before the cancellation period has expired.
5.4. If you cancel within this period, we will reimburse all payments received from you in relation to the agreement, within 14 days after the date on which we were informed about your decision to cancel this Contract.
Payment
6.1. The fee for attending the Retreat (“Booking Fee”) will be as stated on the Booking form.
6.2. Payment will be made by direct bank transfer to the bank account stated in the booking form.
6.3. A £250 deposit is required at the time of booking.
6.4. If your deposit payment is not received within 72 hours of your booking, your booking will be cancelled.
6.5. Deposits are non refundable at any time after the 14 day cooling off period.
6.6. The remaining balance will be invoiced and payable by 31 January 2026.
Cancellations by You
7.1. If you cancel more than 14 days after booking and more than 12 weeks before the retreat start date, you will receive a refund of all payments made, excluding the deposit.
7.2. If you cancel between 8 and 12 weeks before the Retreat, 50% of the full price will be refunded.
7.3. No refundsare available if you cancel within 8 weeks of the Retreat start date.
For this reason we strongly recommend that you take out appropriate insurance to cover you in the event of any need to cancel for any reason.
Cancellations or Changes by Us
8.1. In the unlikely event we cancel the Retreat, a full refund will be provided.
8.2. We are not responsible for additional costs incurred by you, such as travel, insurance, or lost income.
8.3. We reserve the right to make changes to the accommodation provided this does not materially impact your Retreat experience.
8.4. We reserve the right to postpone the retreat.
8.5. If the postponement is for more than 6 months after the publicised date of the Retreat or the replacement venue is more than 50 miles away from the publicised venue, you may cancel your booking by emailing us at joanne@pilateshub.uk within 7 days of us notifying you of the postponement or change, and we shall provide you with a full refund.
8.6. We reserve the right to make changes to the retreat schedule, activities, facilitators, instructors or other arrangements as reasonably necessary, and such changes may be made at any time without prior notice.
8.7. Our total liability to you for any cancellation, postponement, or material change shall be limited to the amount paid by you for the Retreat. We shall not be liable for any consequential or indirect losses.
Transfer of Bookings
9.1.Bookings are non-transferable unless agreed by us in writing.
9.2. may not sell or gift your place to another person without prior written consent.
Force Majeure
10.1. In the event of a Force Majeure Event, including but not limited to natural disasters, war, pandemics, strikes, or failures of suppliers or transport, your rights to cancel, postpone, or amend the retreat, as well as your entitlement to refunds or rescheduling, will be governed by the “Cancellations or Changes by Us” clauses set out in Section 8.
Your Health
11.1. You must disclose any medical, physical, or mental health conditions that could affect your participation in the Retreat.
11.2.We are not medical professionals and cannot provide advice on whether you should attend the Retreat or participate in specific activities. If you have any concerns about your health or ability to undertake the activities, you should consult your doctor or other qualified medical professional prior to booking.
11.3.If we have concerns about your health or your ability to safely participate in any activity, we reserve the right to require you to withdraw from that activity.
11.4. You acknowledge that some Retreat activities take place in outdoor environments where natural risks and hazards exist. You accept that you are voluntarily participating in these activities and understand that there is a risk of personal injury or illness as a result.
11.5. You agree to comply with all safety instructions and regulations provided by the Pilates Hub Retreats team.
11.6. You agree to indemnify Pilates Hub Retreats and Joanne Cornish Limited against any claims, damages, or injury arising from your participation in Retreat activities.
11.7. In the event of an emergency, you consent to receive any medical or dental treatment deemed necessary.
11.8. If your medical conditions, pregnancy status, disability or any other mental or physical condition, including medication you are taking changes after submitting your booking form, you must notify us in writing by emailing joanne@pilateshub.uk as soon as possible before the Retreat start date. Every effort will be made to accommodate such changes; however, this may not be possible depending on the retreat. In such cases, cancellation by you will apply in accordance with Section 7.
For this reason we strongly recommend that you take out appropriate insurance to cover you in the event of any need to cancel for any reason.
Travel and Insurance
12.1. You are responsible for making and paying for your own travel arrangements to and from the Retreat.
12.2. If you are late at the Retreat or prevented from attending the Retreat due to travel delays or any other circumstances, we shall not be obliged to provide you with a refund or to wait to start the Retreat until you arrive.
12.3. We strongly recommend you take out travel insurance to cover cancellation, illness, injury, and personal belongings.
12.4. We accept no liability for costs arising from your failure to obtain suitable insurance.
Your Obligations
13.1. You agree to behave respectfully and considerately towards others.
13.2. We reserve the right to ask you to leave the Retreat without refund if your behaviour is disruptive, unsafe, or inappropriate.
13.3. If you act in any way which, in our opinion, is likely to cause any harm or nuisance to any person at the retreat, you will be required to leave the Retreat and we shall not be liable to refund your Booking Fee or any other payment.
13.4. You must comply at all times with the health and safety policy of the venue. You must comply with all requests from us or the venue with regard to health and safety and failure to do so will result in you being asked to leave the Retreat and we shall not be liable to refund your Booking Fee or any other payment.
13.5. You may not bring any equipment or items of a hazardous or dangerous nature to the Retreat.
13.6. You may not smoke or vape indoors or outdoors at the venue.
13.7. You shall not cause any damage to any part of the venue, including but not limited to outside areas, all inside walls, flooring, fixtures and fittings
13.8. You are solely liable for any damage caused by you to any such area of the venue and shall fully reimburse us in relation to any damage so caused.
13.9. You must keep your personal belongings safe and we accept no liability for any damage to, loss of or theft of any of your belongings or other items brought to the Retreat by you.
13.5. You must not take part in the activities under the influence of alcohol or drugs.
Photography and filming
14.1. We may photograph or film the Retreat for promotional, marketing, and other legitimate business purposes.
14.2. If you do not wish to be photographed or filmed, you must notify us in writing prior to the commencement of the Retreat.
14.3. Participants are permitted to take photographs during the Retreat.
14.4. Participants may film during the Retreat, but filming is not permitted during organised retreat activities.
14.5. Participants must obtain prior consent from any other attendees appearing in photographs or films before sharing such images on social media or other public platforms.
Data protection
15.1. For the purposes of the Retreat, we will communicate with you using the contact details provided on the Booking Form.
15.2. We will use and process your personal data in accordance with our Privacy Notice that you can view here
Intellectual Property
16.1. Joanne Cornish Limited is the owner or licensee of all Intellectual Property Rights and all other rights in the materials and content used within the Retreat. Nothing in this agreement, or otherwise, shall operate to transfer ownership of such Intellectual Property Rights to you or any third party.
16.2. You may not at any time copy, reproduce, publish, share, sell, dispose of, or otherwise make available to any third party, in any form or by any means, any of the content or materials used in the Retreat.
16.3. We grant you a limited, non-exclusive, non-transferable, non-sublicensable, and revocable licence to use the content and materials provided during the Retreat solely for the purposes for which they were provided.
16.4. You may not make any audio and/or visual recordings of all or any part of our activities without our prior written consent.
Limitations of Liability
17.1. Nothing in this agreement shall limit or exclude our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be legally excluded or limited.
17.2. The services and activities provided during the Retreat shall be performed with due care, skill, and ability. Except as expressly stated, all other warranties and representations are excluded to the fullest extent permitted by law.
17.3. You must inform us of any medical condition that may affect your ability to participate in the Retreat activities or that may impact your health during the Retreat.
17.4. We shall not be liable for any loss of profits, loss of business, depletion of goodwill, loss of anticipated savings, loss of goods, loss of contract, corruption or loss of data or information, or any special, indirect, consequential, or pure economic loss, costs, damages, charges, or expenses suffered or incurred by you as a result of entering into this agreement.
17.5. Our total liability arising under or in connection with this agreement, whether in contract, tort (including negligence or breach of statutory duty), misrepresentation, restitution, or otherwise, shall be limited to the total price paid by you for the Retreat.
17.6. If we are prevented or delayed in performing our obligations due to your act or omission or due to circumstances beyond our reasonable control, we shall not be liable for any resulting costs, charges, or losses incurred by you.
17.7. The provisions of this liability section shall survive termination of this agreement.
17.8. Nothing in these terms limits your rights under UK consumer law.
General Provisions
18.1. If we fail at any time during the term of this Agreement to insist upon strict performance of any of your obligations under this Agreement or these terms and conditions, or if we fail to exercise any of the rights or remedies to which we are entitled, this shall not constitute a waiver of such rights or remedies and shall not relieve you from compliance with such obligations.
18.2. A waiver by us of any default shall not constitute a waiver of any subsequent default. Any waiver of any provision of this Agreement shall be effective only if it is expressly stated to be a waiver and communicated to you in writing.
18.3. If any provision of these terms and conditions or of this Agreement is found by a court or other competent authority to be invalid, unlawful, or unenforceable, such provision shall be severed to the extent necessary and the remaining provisions shall continue in full force and effect.
18.4. These terms and conditions, together with any document expressly referred to herein, constitute the entire agreement between you and us and supersede any
18.5. Each party acknowledges that, in entering into this Agreement, it does not rely on any representation, warranty, or other provision except as expressly provided in these terms and conditions, and all conditions, warranties, or other terms implied by statute or common law are excluded to the fullest extent permitted by law.
18.6. Nothing in this clause shall limit or exclude any liability for fraud or fraudulent misrepresentation.
18.7. We reserve the right to revise and amend these terms and conditions from time to time. Any such changes will not affect the terms that were in place at the time your booking was confirmed unless required by law.
Governing law
19.1. These Terms shall be governed by English Law and you hereby submit to the exclusive jurisdiction of the English Courts.
